Information about processing the personal data of a Client Contracting Party

A Client “Contracting Party” is understood to be a person that has executed, is executing or plans to execute a business transaction through Rellox; for example the purchase or sale of real estate.

The purpose of processing personal data:

  • The successful completion of a commercial transaction (for example the purchase or sale of real estate);
  • Entering into a contract to which the data subject is a contracting party;
  • Fulfilling legal obligations, for example an entry in the real estate cadastre, the payment of mandatory fees, etc.;
  • Records of contractual and related documents for the period of time required to protect the parties to contractual relationships; for example, for reasons of warranty claims, lease obligations, etc.;
  • Processing other commercial offers and sending these to the Client Contracting Party.

Categories of concerned personal data

  • First name and surname
  • Date of birth
  • Place of permanent residence
  • Contact address
  • Contact telephone number
  • Contact e-mail address
  • Passport number
  • Any other personal data required for the purposes of processing

Categories of personal data recipients:

  • Employees and persons authorised by the personal data controller that require the personal data to fulfil the purpose of processing.
  • A business partner of Rellox; for example, a real estate seller/buyer, or representatives of the seller/buyer, etc.
  • A law office
  • A notary
  • Government authorities and bodies, for example the land registry office, etc.
  • A manager of real estate
  • A company which organises the lease of real estate
  • A tax advisor
  • A mortgage advisor
  • Providers of IT services
  • Any other persons relevant to the purposes of personal data processing

The period of personal data processing

Rellox is authorised to process the personal data of a Client Contracting Party for the period of time required to protect the parties to contractual relationships.

The specific date of erasure of personal data from the Rellox database is understood to be 24 May of the year which follows the passing of 10 years after the execution of the commercial transaction.

In the cases that other contracts (for example, a lease contract) are concluded together with the execution of the “main” commercial transaction whose performance continues beyond 24 May of the year which follows the passing of 10 years after the execution of the “main” commercial transaction, Rellox is authorised to process the personal data of a Client Contracting Party for a period of 5 years following the expiration of such contracts.
