Information about processing the personal data of an Interested Party

A Client “Interested Party” is understood to be a person that has expressed an interest in executing a business transaction through Rellox; for example the purchase or sale of real estate. This is usually a person that asks for more information about properties, the terms and conditions of a transaction and the services offered by Rellox. This is also a person that asks Rellox to mediate viewings of a property and mediate negotiations with the future other contracting party.

The purpose of processing the personal data of an Interested Party:

  • Processing commercial offers and sending these to the Interested Party
  • Preparing informative materials relating to real estate, the property market, the terms and conditions of a transaction, etc.
  • The assurance and organisation of personal viewings of properties
  • Mediating contact with the future other contracting party, or its representative
  • Mediating contact with other persons that are significant for the decision of the Interested Party regarding possible future execution of a commercial transaction (for example, a lawyer, tax advisor, etc.)
  • Other activities, mainly at the active request of the Interested Party

Categories of concerned personal data:

  • First name and surname
  • Contact telephone number
  • Contact e-mail address

N.B.: In certain cases in which an Interested Party expresses an interest in viewing a property or meeting the representative of the future other contracting party in person, Rellox will ask the Client “Interested Party”  to sign what is known as a Letter of Interest, which specifies the time, place and conditions of the viewing, or meeting. The following personal data of the data subject are contained in the Letter of Interest:

  • First name and surname
  • Date of birth
  • Place of permanent residence
  • Contact address
  • Contact telephone number
  • Contact e-mail address

Categories of personal data recipients:

  • Employees and persons authorised by the personal data controller that require the personal data to fulfil the purpose of processing.
  • A business partner of Rellox; for example, a real estate seller/buyer, or representatives of the seller/buyer, etc.
  • A company which organises the lease of the relevant real estate
  • A law office
  • A notary
  • A tax advisor
  • A mortgage advisor
  • Providers of IT services
  • Any other persons relevant to the purposes of personal data processing

The period of personal data processing

Rellox is authorised to process the personal data provided by an Interested Party for the period of time for which the interest of the Interested Party in cooperating with Rellox can be expected. This period is set at 10 years following the date of expressing an interest in cooperation by the Interested Party.

In the case of an Interested Party that has viewed a property or held a personal meeting with the representative of the potential other contracting party through Rellox (in person or through an appointed representative), the period of personal data processing is set at 10 years following the date of the viewing, or meeting.

The specific date of erasure of personal data from the Rellox database is understood to be 24 May of the year which follows the passing of 10 years after the date specified above.
